Terms of Service

These terms outline the service scope, client responsibilities, billing terms, and operational limits for Aether Reception’s managed AI front desk services.
1. Service description
Aether Reception provides a managed AI front desk system that may include AI call answering, lead capture, call summaries, booking request workflows, dashboard access, professional email alerts, spam filtering, support, and setup services.
2. Setup service
The setup fee covers implementation work, including business discovery, call-flow mapping, receptionist scripting, service and FAQ configuration, notification setup, dashboard configuration, QA testing, and launch support.
3. Setup fee
The setup fee is due before implementation begins. The setup fee becomes non-refundable once implementation work has started.
4. Monthly service
The monthly service fee covers the live managed service, including call handling within plan limits, dashboard access, configured workflows, support, monitoring, and reasonable optimisation. Monthly billing begins after the agreed launch point or launch tuning period unless otherwise agreed in writing.
5. Usage limits
Plans may include usage allowances such as call minutes or call volume limits. If usage exceeds the agreed allowance, Aether may require a plan upgrade, overage agreement, or revised routing configuration.
6. Client responsibilities
The client agrees to provide accurate business information, services, FAQs, contact details, escalation rules, booking preferences, and timely feedback during setup and launch tuning. The client remains responsible for following up leads, confirming appointments, handling customer relationships, and ensuring their own legal and compliance obligations.
7. AI limitations
Aether uses AI systems to assist with call handling and enquiry capture. AI may misunderstand callers, make errors, or require adjustment. Aether does not guarantee perfect accuracy, revenue generation, lead conversion, or appointment attendance.
8. Booking requests
Unless calendar locking is explicitly configured and tested, booking entries are treated as requests to be confirmed by the client. Aether should not be relied on as the sole source of confirmed availability unless agreed.
9. Spam and notifications
Aether may filter spam or low-value calls and may limit email notifications to booking requests, urgent calls, or configured priority events. Spam, scam, or cold sales calls may be logged without triggering client email alerts.
10. Third-party providers
Aether may rely on third-party providers for voice AI, hosting, databases, email, payments, telecoms, analytics, and other infrastructure. Aether is not responsible for outages, limitations, or policy changes caused by third-party providers, but will make reasonable efforts to resolve service issues.
11. Payment
Payments may be processed through Stripe or other agreed payment methods. Failure to pay may result in suspension or termination of service.
12. Cancellation
Monthly service may be cancelled according to the agreed billing terms. Setup fees already earned for implementation work are not refundable unless explicitly agreed in writing.
13. Confidentiality
Both parties agree to treat non-public business, technical, and customer information as confidential.
14. Acceptable use
Clients must not use Aether for unlawful, abusive, misleading, fraudulent, or harmful activity.
15. Limitation of liability
To the fullest extent permitted by applicable law, Aether is not liable for indirect losses, lost profits, missed sales, lost opportunities, or consequences of client failure to follow up leads or manage appointments.
16. Changes to service
Aether may improve, modify, or update the service over time. Material changes affecting paid services will be communicated where appropriate.
